How to manually change property address?

To update your property address, please follow these steps:

  1. Go to the property page.

  2. Locate the actions button at the top right corner.

  3. Click on the actions button.

  4. Select the option "Edit Location"

  5. Amend the details

  6. Save

How do I change property status?

To update your property status, please follow these steps:

  1. Go to the property page.

  2. Go to the 'Availability page'

  3. The Availability Status will be the first field you see

  4. Choose the correct status from the dropdown

How to convert portrait images to landscape images?

To ensure your portrait images can be accepted on our platform, follow these steps to edit them into a landscape format:

Using Image Editing Software (e.g., Photoshop):

  1. Open your preferred image editing software. Photoshop is recommended for its ease of use.

  2. Create a new landscape document with dimensions of W: 2000px x H: 1155px. This size fits the listing image requirement precisely.

  3. Paste your portrait image into the center of the landscape document. Place it on a white background.

  4. If you have two portrait images, you can position them side by side to fill the space.

  5. Save the edited image to your computer.

Using an Online Image Editor (e.g., Pixlr):

  1. If you don't have access to Photoshop or similar software, you can use an online image editor like Pixlr: https://pixlr.com/editor/.

  2. Choose "open image from computer" and select your portrait image.

  3. Click on "Image" and then "Image size." Set the height to 1155px (the width will adjust proportionally).

  4. Click on "Image" and then "Canvas size." Ensure the central square in the grid is selected to keep the image centered, and set the canvas width to 2000px (the height will remain the same).

  5. Click on "File" and then "Save" to save the edited image to your computer.

Remember to follow these guidelines to ensure your portrait images are converted into the required landscape format before uploading them to our platform.

How to Delete a listing?

To remove a listing, follow these steps:

  1. Go to the listing you want to remove.

  2. Click on "Actions" located at the top right corner.

  3. Choose the "Archive" option.

  4. Select either "Withdrawn" or "Disinstructed" to specify the reason for removal.

  5. If necessary, add a comment to provide additional information.

    • Please note that the comment you add will only be visible internally and will not be accessible to the Society. 😊

How can I add Multiple Lease Types?

If you need to include multiple or lease types, the recommended approach is to create a new section under the 'Marketing' tab.

  1. Go to the "Marketing Tab"

  2. Scroll down to "Marketing Text"

  3. Select the "Add more text" option

  4. Add the Title

  5. Add the Description

This will allow you to provide more detailed information about the available leases.

How do I export Disposals from a search?

If your account is limited to society access only, you won't have the ability to download disposals data. To perform this action, you need PRO access.
Here's how you can do it:

  1. Go to to the Society Disposals page.

  2. Use the the filters located at the top right to locate the specific search you need.

  3. Click on the "Actions" button at the top right corner.

  4. From the dropdown menu, select "Download Society Disposals."

By following these steps, you'll be able to download the required data.

How do I locate an old withdrawn or dis-instructed listing?

If you want to locate withdrawn or disinstructed disposals, follow the steps below:

1. Go to the disposal section
2. Click on "filters" located on the right hand side.
3. Choose the "Archive" option.
4. Search for 'status' filter and select either "Withdrawn" or "Disinstructed"

How do I reinstate a Disposal?

If you are wanting to reinstate an archived disposal, you can do this by following the below steps;

  1. Go to the Disposals Tab

  2. Select the filter option located on the right hand side of the page

  3. Filter by Tenure: Withdrawn & Dis-instructed

  4. Select the disposal you are wanting to bring back

  5. Select the Re-instate disposal banner shown in Orange

Have I published my disposal?

If you are wanting to ensure your Disposal has been published follow the below steps;

  1. Go through to the Disposal you would like to confirm

  2. Select the "Marketing Tab"

  3. Look to the right of the Tab - You will notice the heading "Publish Options"

  4. Any Green circle means it has been published

  5. Any Greyed out circle means it has not been published

What are the Icon meanings?

When using our system, you may come across various icons related to your disposals and acquisitions. Here's a breakdown of what these icons mean:

  1. Published to Society:

    This is a Green cloud icon and it indicates that your information or updates have been made available to the Society.

  2. Matches:

    This is a Blue thumbs up icon and it signifies potential matches or connections that have been identified based on your disposals or acquisitions. These matches could be relevant for further consideration or collaboration.

  3. Pending Matches:

    This is an Orange bell icon indicates that potential connections or matches are being processed and are awaiting confirmation or verification. These matches are still being reviewed and are not yet finalised.

How can I publish my Disposal?

When publishing your disposal to the society, follow the below steps:

Step 1: Creating your property

  • Start by creating your property.

Step 2: Navigating to the marketing tab

  • To continue, locate the marketing tab positioned along the top of the page.

Step 3: Accessing publish options

  • Once you're on the marketing tab, look for the section labeled "Publish options" on the right-hand side.

Step 4: Selecting the society option

  • Within the publish options, choose the option called "Society."

Step 5: Choosing notification preferences

  • Decide whether you want to send an email round to notify the society or not.

Step 6: Publishing the disposal

  • Lastly, click on the "Publish!" button to finalise the disposal publication.

How do I re-circulate a Disposal?

To circulate a disposal to the society, follow these steps:

  1. Access the disposal.

  2. Navigate to the marketing tab located at the top of the page.

  3. Click on the publish options, which can be found on the right side.

  4. Select "Society" from the available options.

  5. Prepare your email with the necessary information.

  6. Publish the disposal by clicking the appropriate button.

How do I assign another User to the disposal?

Assigning an Agent to a Disposal:

  1. Click on the disposal you want to assign an agent to.

  2. Navigate to the "Marketing" section within the disposal.

  3. Find the "Assign Users" option and click on it.

Removing an Agent from a Disposal:

  1. Click on the disposal you want to remove an agent from.

  2. Go to the "Marketing" section within the disposal.

  3. Access the "Assign Users" option.

  4. Look for the agent's name and click on the small "x" located to the right of their name.

Changing the Order of Agents in a Disposal:

  1. Open the disposal where you want to reorder the agents.

  2. Head to the "Marketing" section within the disposal.

  3. Select the "Assign Users" option.

  4. Locate the agent's name and click on the icon positioned to the left of their name.

  5. Drag the agent's name to the desired position in the list to change the order.

Note: "Disposal" refers to the relevant section where these actions are performed.

How do I update my Ageing listings?

For Disposals:

  1. Click on the "Check your Disposals" button in the original message. This will take you to the relevant list in your account.

  2. If the list is empty, you're all up to date, and there's nothing else to do.

  3. If there are items on the list, click into the disposal you want to review.

  4. Select the option "Still Active."

  5. You can also update the availability or archive the listing if necessary.

For Acquisitions:

  1. Click on the "Check your Acquisitions" button in the original message. This will take you to the relevant list in your account.

  2. If the list is empty, you're all up to date, and there's nothing else to do.

  3. If there are items on the list, click on the acquisition you want to review.

  4. Use the panel to confirm on if the acquisition as "Still Active."

  5. You can also mark it as complete or archive it if needed.

Please note that this process only applies to listings that haven't been updated for 30 days or more. Any listings you've updated within the past month won't be affected.

How to change a cropped image?

To ensure optimal scalability across different outputs such as emails, brochures, and your website, the system automatically crops landscape photos. However, if you prefer to maintain the original composition, you can manually add white space to the sides of the photo before uploading it.

Please note that this adjustment needs to be made outside of the AI system and then re-uploaded.

Image Orientation/Layout?

Sometimes, when the portal encounters a photo, it may not determine the correct orientation. To address this, you can resolve the issue by downloading the image and performing a full 360Β° rotation. This seemingly unusual step adds metadata to the image, instructing it on how it should be displayed.

What are 'Pending Match Requests'?

Match Requests are when you reply to a Society Acquisition with your properties via the website. It remains pending until the tenant rep accepts or declines the match request, or you move it yourself.

You can see your pending match requests for a property on it's Interest Schedule:

Automatic declining of match requests

Moving forward, any match request that hasn't been accepted or declined will automatically be declined and hidden after 28 days unless you've moved them onto your Interest Schedule before that point.

How do I see hidden matches?

To see hidden matches, toggle on the 'Hidden Matches' check-box.

Approve your listings

Approving your listings will ensure that everything you publish is kept relevant and has the latest information, this helps your fellow members and the public.

When should I approve my listings?

You should approve your listings at least once every 80 days. 60 days after your listing is published you will be prompted to confirm it is still accurate. After 80 days, if not confirmed, your listing will be unpublished.

How do I approve my listings?

1. Prompts to approve listings

You will be prompted to approve your listings in 4 different ways:

  • Email. You will receive an email with a link to approve your ageing listings.

  • Homepage. There is a link on the homepage to quickly review those listings.

  • Your / team listings. Click the notice at the top of the page to view the relevant listings to approve.

  • Listing detail page. You are prompted on an unconfirmed listing to confirm its accuracy.

2. Bulk approve
Follow the below steps to approve your disposals and requirements from the list view.

  • Click prompt to view the listings that need approval

  • Select a listing you need to check / approve

  • Use the actions at the bottom to confirm or update your listings

  • Move onto the next!
