Goal

Streamline the email marketing process within Kato, enabling you to efficiently send targeted campaigns to either predefined marketing lists or relevant applicants, ensuring personalised and impactful communication.

Why

One of the best ways to shout about a new listing coming to the market (or an update to an existing listing) is to send an HTML email with summary details and some clear calls-to-action. ⭐️

Sending Campaigns from Kato

In Kato, you can send your email campaign to your predefined marketing lists, or alternatively, to the relevant matching applicant.

Marketing List:

Provide us with you predefined marketing list so we can import this into your Kato profile for you.

Handy Tip: We do require a specific format when importing, so be sure to use our Marketing List loader here.

Note: We will only be able to email contacts that have their marketing permissions set to yes.

Upon creation, you have the option to create a Campaign for a Single Property and *Coming Soon* "Multi Property":

Customise your Template, amending any Subject lines or Headings to suit your tone.

Send to Matching Applicants

This option searches against the contacts associated to your requirements to find the best potential recipients for the email.

Find matches > Send an email campaign πŸ”Ž

To send an email campaign, start by accessing the 'Find Matches' page from your disposal summary. Once there, click on the "Send an Email Campaign" button to initiate the process

Review & refine πŸ‘€

You will be presented with a list of contacts where their requirement matched with the disposals attributes (we use size, type, tenure and location to determine this).

Select the filter to refine the matching criteria, for example you may wish to widen the search area or include now inactive applicants:

You can then select the contacts to send the email to, clicking the checkbox at the top allows you to select all from that page or from all pages of matches:

Curate, Preview & Schedule

You can now move onto composing the email using the Pink bar on the bottom of your Schedule.

This will then navigate you to your Campaigns within Kato where you can select your preferred template and adjust any context or headers to better suite your tone of voice.

Compose your message ✍️

  • From: Select who you want the email to be send from

  • Subject: Defaults to your orgs settings but you can over-write

  • Headings: Defaults to what Kato has provided however you can over-write this.

  • Message: Defaults to your orgs settings but you can over-write. Remember to keep your short codes [%first_name%] etc in place so we can personalise the emails when they send.

Preview / Send test πŸš€

  • Preview: Click preview to get a quick idea of how your email will look, if there is content missing then jump back to your property and add more text / images

  • Send Test: Select this option to send yourself, a colleague or client a copy of the email you are looking to send out

Schedule 🀩

Once you are happy then schedule the email to send out, you can either do this immediately or send it out in the future.

We recommend sending an email on Tue / Wed / Thu between 10am - 2pm for the best open rates.
