Transcript

This session will provide you with the tools needed to successfully publish your listing to the Society. We will cover the Societies currently hosted on our platform and key information to help get your listings published. We will also take a deeper dive into the publishing steps, provide top tips and finish with frequently asked questions.

Currently, we host five Societies on our platform, covering offices, industrial and retail sectors. We've also included their abbreviations, as we use these terms interchangeably with the Society names. The West London City Societies cover specific areas within Central London, which we’ll discuss in detail shortly.

The Office Agents Society (OAS) is national but excludes Central London. The Industrial Agents Society (IAS) and Retail and Leisure Agents Society (RLAS) are also national, including Central London. Next, we'll explore the Central London locations. The left side of the map shows the West End covered in black, while the right side displays the City Agents Society boundaries. They share a boundary, which means if you belong to the City Agents Society, you also have access to properties and requirements in this shared area. The same applies to colleagues in the West End Society.

Let’s look at the dashboard. This is the first thing you see when logging into Agents Society. It contains many core functions, which we’ll cover. The navy banner on the left side of the screen has two parts: everything below "Marketplace" is related to the Society, while everything above is for managing your own data, including your colleagues' information. The dashboard provides helpful information for day-to-day work, such as recommended actions, and insights powered by the Society.

If you need to check which Societies you are part of, there is a banner across the top of your screen with a dropdown list. We recommend creating a new record directly from the dashboard, as it guides you through the entire workflow—from creating to publishing—reducing the risk of leaving something unpublished. You can use the dashboard to create a disposal requirement or schedule a calendar event.

There are platform upgrades available, such as Kato Pro and Insights, which are more data-driven. Kato is designed to save time and close deals faster, covering everything from marketing to logging your deals. If you're looking for data-led dashboards and reporting, Kato provides insights into agency performance and market demand.

For Society listings, both disposals and requirements have required fields, marked in red or with an asterisk and desired fields to add more information. This extra information helps make your listing stand out. Once all required and desired fields are filled, the next step is publishing. It’s always a good idea to send an email when publishing to increase coverage for your listing.

If you are a member of multiple Societies, you’ll be shown the relevant ones for publishing. Make sure that the location and property type match the requirements of the Society. For instance, properties in the shared City and West End boundary must include "Office" as the property type. For the Industrial Agents Society, the property type must be industrial.

When publishing, you can schedule notifications for agents. For example, if it’s late on a Friday and you want to delay the notification until Monday morning, the system allows you to set the time and date. Next, let’s look at how to take action on emails you receive.

We recommend being proactive by responding to circulars directly from your email inbox. Starting with requirements, you’ll see the location on a map and a message from the agent. You can click "View Requirement" for details or use the "Send Matches" button to send properties that best match. For disposals, the workflow is similar—click "Add to Shortlist" to build your availability report for your client. By doing this, you add the requirements or disposals to those agents' reports.

Here are some frequently asked questions. One common question is whether we can bulk publish to the Society on your behalf. Due to company policy, we cannot publish for agents, as this minimises the risk of data breaches or errors. Another question is why you may not be able to publish to the Society. This is usually due to not having access to the specific Society or an incorrect property type. Check the availability tab or search criteria for the relevant information.

If you’re publishing an investment sale, note that none of our current Societies accept investment as a property type. This may change in the future if an existing Society expands its scope.

Both disposals and requirements can be recirculated, but only once every two weeks. To do this, go into the record within the Agent Society platform, select "Publish Options," and recirculate the email.

If you need to contact us, there is a live chat option within the platform, a dedicated email at help@kato.app, and a phone number available 0203 772 8898. Our help section also contains many articles that guide you through workflows on the platform.
